How to Use the Template
You do not need to complete the entire document for every event. For smaller events, a few selected fields or a single page may be enough.
For conferences, festivals and more complex programmes, complete all relevant sections and send the document together with the latest event programme.
What Is the Difference Between a Brief and a Shot List?
The event brief contains specific information such as names, timings, key speakers, VIP guests and important parts of the programme.
The shot list defines the main image categories required, such as audience shots, branding, networking, partner activities and group photos.
There is no need to repeat the same information in both sections.
Do Not Treat Every Shot as Essential
The shot list should not be used as a checklist where every item is automatically marked as required.
For busy programmes, parallel sessions or short activities, it is important for the organiser to identify the people and moments with the highest priority.
This allows the photographer to plan the coverage and flag in advance when a second photographer may be needed.
Specify the Photography Coverage Period
The official start and end times of the event do not always match the period the photographer needs to cover.
You may also need photos of the empty venue, branding and registration before the event begins, or coverage of only a specific part of the programme.
The template therefore includes a separate field for the photography coverage period.
